Information we collect
We may collect information that you submit through donation, monthly pledge, receipt, contact, volunteer, partner, media, or enquiry forms. This may include your name, email address, phone number, donation amount, payment reference, receipt details, communication preference, referral invite information, and any message you choose to share with us.
For donation receipts, 10A/80G documentation, donor support, reconciliation, and compliance records, we may ask for additional information when required by applicable law or internal verification needs. We request only the information needed for the relevant purpose.
Payment information
Online payments are processed through Razorpay or another authorized payment gateway used by Knowledge Prism. We do not store card numbers, CVV, UPI PIN, net-banking passwords, or full banking credentials on our website server. The payment gateway may process payment information according to its own policies and regulatory obligations.
We store payment references such as Razorpay order ID, payment ID, amount, currency, status, receipt number, payment method when available, and timestamps so that we can reconcile donations, issue receipts, respond to donor queries, and maintain audit records.
How we use information
We use personal information to process donations and pledges, generate receipts, respond to donor and volunteer enquiries, send requested documents, maintain statutory and accounting records, improve website usability, prevent fraud or misuse, and communicate about Knowledge Prism programs when you have provided consent or when the communication is directly related to your enquiry or donation.
If a donation arrives through an invite or referral link, we may store the referral code and inviter name in the donation record. This helps us understand outreach effectiveness and acknowledge community supporters. We do not use referral tracking to expose private donor details to the inviter.
Sharing and disclosure
We may share limited information with service providers who help operate the website, payment gateway, email delivery, hosting, analytics, accounting, legal, compliance, or audit functions. These parties should use the information only for the relevant service or legal requirement.
We may disclose information when required by law, court order, regulatory authority, tax authority, bank, payment gateway, auditor, or professional adviser. We may also disclose information to protect the rights, safety, property, or integrity of Knowledge Prism, donors, beneficiaries, partners, or the public.
10A, 80G, and compliance records
Where donors request tax-related documents, we may retain details required to verify the donation and issue or support documentation. Tax benefit eligibility, documentation format, and reporting obligations may depend on applicable law and the registration status of the organization at the relevant time.
Data retention
Donation, payment, accounting, tax, receipt, and compliance records may be retained for the period required by law, audit practice, donor support needs, and organizational record-keeping obligations. General enquiry records may be retained for a shorter period unless needed for follow-up, reporting, dispute resolution, or compliance.
Security
We use reasonable technical and organizational measures to protect website and donor records, including access control, secure payment processing, and restricted administrative access. No website, database, or online transmission can be guaranteed completely secure, but we work to reduce risk and respond responsibly to security concerns.
Your choices
You may contact us to request correction of your contact details, ask for a copy of donation information reasonably available to us, update communication preferences, or ask questions about how your data is used. Some records may need to be retained for legal, accounting, audit, or dispute-resolution reasons even if you ask us to stop communication.
Children and vulnerable persons
This website is intended for donors, volunteers, partners, and adult supporters. If information about a child or vulnerable person appears in program stories or media, Knowledge Prism should use appropriate consent and dignity safeguards before publication.
